PRIVACY POLICY

1. Our Commitment to Privacy

The Florida Association of Women Law Enforcement Professionals (FAWLEP) respects the privacy of its members, applicants, event participants, volunteers, supporters, website visitors, and others who interact with the Association. This Privacy Policy explains the types of information FAWLEP may collect through its website, how that information may be used, and the choices individuals may have regarding information they provide.

2. Information We May Collect

Depending on how an individual interacts with FAWLEP, the website may collect information voluntarily submitted through membership applications, contact forms, event registrations, committee or volunteer interest forms, scholarship or award processes, communications, and other Association activities. Information may include:

  • Name and preferred name

  • Date of birth when required for membership administration

  • Residential or mailing address

  • Email address and telephone number

  • Agency or organization affiliation

  • Rank, professional title, employment status, and professional category

  • Membership classification and membership status

  • Professional interests, committee interests, volunteer interests, and mentorship-related interests

  • Event registration information

  • Information voluntarily provided in messages, applications, nominations, or other forms

  • Optional professional photograph, biography, LinkedIn profile, or other professional information submitted for approved Association use

  • Payment-related transaction information necessary to process membership dues, registrations, or other authorized payments

 

3. How FAWLEP May Use Information

  • Process and administer membership applications, renewals, and membership records

  • Communicate with members, applicants, event participants, volunteers, supporters, and website visitors

  • Respond to questions and requests submitted through the website

  • Administer events, training, scholarships, awards, committees, volunteer opportunities, and Association programs

  • Provide organizational news, event notices, membership updates, and other communications when appropriate

  • Recognize professional milestones or accomplishments when the individual has voluntarily submitted or approved the information for that purpose

  • Maintain appropriate administrative and financial records

  • Improve FAWLEP programs, communications, membership engagement, and website functionality

  • Protect the integrity, security, and appropriate use of FAWLEP systems and services

 

4. Membership Application Information

Membership applications may contain private information, including date of birth, residential address, personal telephone number, personal email address, employment information, and other administrative details. FAWLEP intends such information for membership administration and related Association purposes. Private application information should not be displayed in a public member directory.

 

5. Payments

FAWLEP may use a third-party payment service to process membership dues, event registrations, or other authorized payments. The website developer should identify the actual payment provider and confirm what payment information is collected or retained by FAWLEP before this section is finalized. FAWLEP should not state that it stores complete payment-card information unless that has been verified.

 

6. Information Sharing

FAWLEP may share submitted information internally with officers, committee leaders, authorized volunteers, administrators, or service providers when reasonably necessary to respond to an inquiry or administer Association activities. FAWLEP may also use third-party service providers for functions such as website hosting, email communications, registration, payment processing, or other website services. This section should be reviewed once the developer confirms the third-party services used by the website.

 

7. Photographs, Biographies & Professional Recognition

FAWLEP may publish photographs, biographies, professional milestones, awards, event photographs, or similar information when the material has been provided or approved for Association use or when publication is otherwise appropriate and authorized. Members should be given a reasonable method to contact FAWLEP regarding corrections or concerns about information attributed to them.

 

8. Cookies, Analytics & Website Technologies

The final website may use cookies, analytics, or similar technologies. The developer must identify the actual analytics, cookie, advertising, embedded-media, and tracking technologies used before this section is finalized. FAWLEP should not publish claims about cookies or tracking that have not been verified against the completed website configuration.

 

9. Data Security

FAWLEP should use reasonable administrative and technical measures appropriate to the website and the information it collects. No website or electronic transmission method can be represented as completely secure. Access to membership and contact information should be limited to authorized individuals with a legitimate Association purpose.

 

10. Data Retention

FAWLEP has not provided a confirmed website data-retention schedule for publication. A retention statement should be added only after FAWLEP determines how long membership applications, contact submissions, event registrations, payment records, and other website records should be maintained.

 

11. Member and Visitor Choices

Individuals may contact FAWLEP to request updates or corrections to information they previously provided. Communication preferences should be honored consistent with the functionality of the website and applicable requirements. Specific deletion or access procedures should be added only after FAWLEP establishes and approves the process.

 

12. Children’s Privacy

FAWLEP’s website is intended primarily for law enforcement professionals, criminal justice and public administration professionals, retirees, supporters, corporate entities, college students, police cadets, and others interested in the Association. The developer and FAWLEP should review whether any website feature is intentionally directed to children under 13 before finalizing this section.

 

13. Third-Party Websites & Services

The FAWLEP website may contain links to third-party websites, registration platforms, social media services, payment services, or other external resources. Those services may maintain their own privacy practices and terms. Visitors should review the policies of third-party services they choose to use.

14. Changes to This Privacy Policy

FAWLEP may update this Privacy Policy as its website, programs, services, or practices change. The final approved policy should display an effective or last-updated date.
